Senior Administrative Assistant
Under the supervision of the Regional Director Asia, the Senior Administrative Assistant (Sr. AA) is responsible for providing complex and routine administrative assistance and management support to advance institutional priorities. The incumbent serves as initial contact to the office of the Regional Director Asia and manages the schedules for both internal and external engagements. The Sr. AA will plan, schedule and organize all travel commitments. The incumbent will also assist with the preparation of drafts and finalize correspondence and reports, as well as perform and summarize background research on key initiatives and projects. Finally the Sr. AA will provide administrative support to meetings chaired by the Regional Director Asia or as requested, and manage the coordination of project meetings, materials, and activities as needed.
Primary Duties:
- Maintains task lists, workplans, and internal and external appointment schedules.
- Drafts routine correspondence and perform fax and filing functions as needed.
- Schedules travel, meetings, and events as needed, and prepare invoices and expense reports
- Formats, edits, revises, and sends executive reports and other correspondence
- Provides assistance and take minutes for institutional work groups, teams or task forces as needed.
- Updates institutional budgets.
- Performs other duties as assigned.
Management Support
- Creates and monitors systems for data management and tracking, and act as liaison on these with relevant operational and program staff.
- Prepares management and operational policies, and maintain data base of Standard Operating Procedures for Regional Director and institution.
- Prepares management reports as needed.
- Maintains and disseminate communications to staff on relevant Regional Director’s activities, to improve awareness and integration.
- Assists the Executive Assistant to the President/CEO as needed, particularly in preparation for Board meetings and Board committee meetings on ARO information.
Research Assistance
- Collects website or telephone survey information and/or secondary data as directed.
- Conducts reviews of procedures and systems of other organizations and/or partners.
- Produces summaries of relevant literature and reports.
- Performs basic data analysis and create tables and charts.
- Contributes to the preparation of reports and presentations.
Required Education, Skills, Knowledge and Abilities:
- Bachelor’s degree in related field to include 2-4 years of experience supporting executive level staff. Some research experience and experience with quantitative and qualitative data analysis software preferred. Knowledge of gender and development issues a plus.
- Strong writing, communication, and analytical skills.
- Strong interpersonal communications skills, and ability to interact with maturity and grace with a wide range of individuals, including high-profile ICRW partner organizations.
- Computer literacy essential to include a proficiency in MS-Windows, PowerPoint, Excel, and Internet applications.
- Must be resourceful and possess excellent organizational skills, detail orientation, and the ability to work on multiple tasks simultaneously.
- Ability to work with minimal supervision, prioritize tasks, and meet deadlines.
- Discretion, diplomacy, and ability to work in strict confidence commensurate with supervisor’s position.
- Must be able to maintain complete confidentiality of conversations, issues and decisions made within the executive office. Must be able to manage workload with minimal supervision, and be self-directed on research tasks as assigned. Must have an interest in and enthusiasm for ICRW’s mission and goals.
